Creating and sending invoices

Invoicing lets you sell now and collect later: institutional customers, dealers, appraisals, anyone you bill on terms. Invoices share the register with Point of Sale, so the flow will feel familiar.

Creating an invoice

  1. Open Point of Sale and switch to invoice mode (or click New Invoice from a customer's page, which pre-fills them). (Invoicing is turned on once in Point of Sale settings.)
  2. Add the items, exactly like a POS sale: inventory lines plus custom lines for services like appraisals or search fees. Discounts, shipping, and tax work the same way.
  3. Set the customer. An invoice requires one; it is who owes the balance.
  4. Choose the terms (due on receipt, Net 15/30/60…) and the due date computes automatically; adjust it if needed. Add any notes for the customer.
  5. Complete it. The invoice gets a number (INV-…), the items come out of stock, and you can print it, download the PDF, or email it right away.

Recording payments

Open the invoice from View Sales (or the customer's Invoices tab, or the Open Invoices report) and click Record payment. Enter the amount and method; partial payments are fine, and the balance tracks automatically. Paying by card over the phone? Turn on Charge a card now in the same panel and the payment goes through your gateway, which also makes it refundable through the gateway later.

Editing and cancelling

The customer details, terms, due date, and notes on an invoice can be edited at any time. Line items are deliberately not editable after creation, because stock and payments hang off them; to change the goods, cancel the invoice (items restock automatically) and create it again.

Keeping on top of what is owed

The Open Invoices report shows everything outstanding, with an aging breakdown (current, 1–30, 31–60, 61–90, 90+ days past due), and each customer's page flags open or overdue invoices at the top. You can record a payment straight from the report.
