All Sales: every sale in one list

All Sales (under Sales & Customers) is one list of every sale your shop has recorded, from every channel: the register, invoices, website orders, marketplace sales (once multi-channel sales is on), and sales you recorded by hand. Each line tells you where it came from and takes you there.

Reading the list

Each line is one item sold: the date, the SKU (click it to open the item), the title and author, the channel, the customer (linked to their customer page when they are on file), the quantity, the price and the source. The totals row at the bottom adds up everything that matches your filters. Pick a channel or search by SKU, title, author, customer or reference number to narrow the list; the address of the page keeps your filters, so you can bookmark a view.

Sales recorded by hand

These are the only lines you can change on All Sales:

  • Edit (pencil): the date, price, channel, customer name and email, and notes. Entering an email that belongs to a customer on file links the sale to that customer, which is a quick way to fill in who bought something after the fact.
  • Create invoice (invoice icon, when invoicing is on): turns the sale into a paid invoice, for a customer who asks for one later. Choose how it was paid; the sale becomes the invoice's line, stock does not change, and the hand-recorded line is replaced by the invoice's, so the sale is not counted twice. If that invoice is refunded later, the item is not returned to stock automatically, because recording the invoice did not take it out of stock.
  • Delete (trash, Admins only): removes the sale from your records. If it is tied to an item you can tick Return the quantity to stock. It cannot be undone.

Why receipt and invoice lines have no Delete

A line from a receipt or invoice is part of a document that records money taken. Removing just the line would take the sale out of your reports while the receipt still says it was paid. Those lines show an eye button instead: open the document and refund or cancel it, which removes its lines from All Sales the proper way. The same goes for website and marketplace lines, which follow their order. The item's own Sales tab follows the same rule.

Marketplace lines appear here, and in your reports, once multi-channel sales is switched on under Settings › Selling Options › Sales Channels. Sales recorded by hand always show, whatever channel you gave them.
